Region One Relief Fund

Applicant Evaluation Criteria & Guidelines
The Region One Relief Fund offers one-time financial assistance to STARFLEET members experiencing urgent, documented emergencies. Applications are evaluated individually based on immediate need and specific circumstances.
Eligibility Requirements
Applicants must show one or more of the following critical unmet needs:
- Essential medications not covered by insurance
Required documentation: Pharmacy receipt or cost estimate. - Food insecurity
When local food banks or aid organizations cannot meet the need. - Emergency clothing replacement
Due to fire, flood, or similar disasters. - Utility bill payments
(Gas, water, electricity) not covered by state or local programs.
Required documentation: Utility shutoff notice.
Qualifying Emergency Situations
The following situations may qualify for assistance:
- Home damage from fire, flood, or natural disaster.
- Eviction or risk of eviction
Required documentation: Eviction notice. - Serious illness or injury
Resulting in temporary or permanent loss of income.
Required documentation: Medical bills and brief description. - Robbery or burglary
Leading to the loss of essential daily living resources.
Required documentation: Police report. - Job loss without severance or alternate income
Required documentation: Termination letter or unemployment claim.
Non-Qualifying Requests
The Relief Fund cannot provide assistance for:
- Rent or mortgage payments without a valid cause, such as job loss.
- Insurance premiums, car payments, furniture, or tax/credit card bills.
- Child support or alimony.
- Travel or vacation expenses.
- Club dues or organizational memberships.
- Legal fees or attorney retainers.
- Gambling-related losses.
- General vehicle repairs (unless deemed critical).
- Moving expenses (only considered in extreme cases).
Decision Process & Funding Limits
- Applications are reviewed by the Region One Relief Fund Committee on a case-by-case basis.
- Maximum award per applicant: $500.
- Decisions are based on urgency, documentation, and current living conditions.
- Relief Fund cannot cover replacement of homes, vehicles, computers, or high-value items. These should be pursued through insurance or state victim assistance programs.
- The Region One Coordinator holds final decision authority on all cases.
How to Apply
Submit Relief Request by mail or email. Be sure to include:
- Detailed explanation of your situation, including:
- Specific amount requested
- Nature of the emergency
- Relevant documentation (e.g. medical bills, eviction notices, police reports)
- Your contact and membership information:
- Full legal name
- Postal address
- Email address (if available)
- Phone number
- SCC number
- Proof of good standing in Region One and STARFLEET
(Letter from Chapter CO or STARFLEET database confirmation accepted)
- Send your application to both the Region One Treasurer and Region One Coordinator (RC).
- Email submissions must include scanned or photographed documentation.
- Optional: A verification letter from your Chapter Commanding Officer may strengthen your application.
Important Notes
- Relief is one-time only. You may not reapply after receiving assistance.
- All applications are confidential and viewed only by the Relief Committee.
- Funds are typically paid directly to service providers, not to the applicant.
Exceptions: Food, clothing, or medication needs may be reimbursed or handled with gift cards. - For medication assistance, include a receipt or cost estimate from a pharmacy.
- Grocery store gift cards may be provided for urgent food needs.
- All applicant records will be kept securely on file for internal use.
